About the position and you

Facilities Coordinator

You will be instrumental in ensuring our facilities operate smoothly, safely, and efficiently. You will manage service tickets, coordinate reactive and planned maintenance, manage supplier communications, and support the delivery of high-quality environments for our members and staff.

A key part of your role will be ensuring suppliers are paid accurately and on time, maintaining strong relationships and service continuity. Your focus on operational detail and proactive problem-solving will help uphold our standards of excellence across all gym locations.

- Coordinate and manage daily operational tasks, fault reports, and service requests from gyms via the CAFM system
- Follow up on supplier tasks across all FM areas, including technical systems, plumbing, electrical, general maintenance, and safety
- Ensure works are accurately logged to internal Technicians or external supplier partners
- Provide support to gym teams in handling urgent operational issues and minor facility projects
- Be the point of contact for all gym queries via inbox management and telephone.
- Administer and update the CAFM system to ensure accurate tracking of tasks and asset data
- Be responsible for checking and approving supplier invoices up to the agreed delegation of authority
- Plan and follow up on statutory inspections and technical checks to ensure compliance with Danish regulations
- Document, report, and follow up on open tasks and cases to ensure timely resolution
- Collaborate with internal departments such as Operations, Development, and IT to align FM activities with business needs
- Contribute to the continuous improvement of FM processes, standards, and tools
- Ensure suppliers are paid accurately and on time, maintaining strong working relationships and service continuity
- Provide cover for the Head of Facilities Management during absence
- Provide training and support on FM processes, system utilisation etc as and when required, to internal and external stakeholders.

Your qualifications

• Is highly organised with great attention to detail and ability to manage and prioritise a varied workload within target time frames.

• Exceptional administrative and customer service skills including inbox management.

• Great communication skills, both written and verbal.

• Target focused and able to meet strict deadlines.

• Can effectively build and manage relationships with various stakeholders including the wider FM team and Gym Managers.

• Is an ambassador of the PureGym values.

• Displays resilience and is passionate about the role.

• Takes ownership for performance and ensures that all targets are met.
