PureGym ("PureGym," "we," "us," "our") continuously handles various personal information about potential candidates and is therefore the data controller in connection with the processing of your personal data.

In connection with recruitments at PureGym, we process your personal data as described in this policy to assess whether you are a qualified candidate for a vacant position with us.
We recommend that your application does not contain your CPR number or sensitive personal information, such as information revealing racial or ethnic background, religious affiliation, union membership, sexuality, health information, etc. If a position exceptionally requires specific health-related information, we will, after a concrete assessment, request your consent to process such information, in accordance with the Data Protection Regulation, Article 7, Article 6 (1) (a), Article 9 (2) (a), and the Data Protection Act, Section 11, Paragraph 2, No. 2.
Processing of Your Application
We process the information, including personal data, contained in your application and your CV for the purpose of evaluating your application. Typically, this information includes your name, address, photo, gender, phone number, email address, education(s), career history, and recommendations/references. In some recruitments, we may also request you to upload video clips as part of your application. If you are invited for an interview, we will receive additional information about you during the interview, which we will note for use in the further recruitment process. We use the Data Protection Regulation, Article 6 (1) (b) as the legal basis, as this involves the processing of personal data prior to entering into an employment contract. Additionally, the processing is carried out based on the Data Protection Regulation, Article 6 (1) (f), for the purpose of pursuing our legitimate interest in conducting the recruitment process.
Child Certificates
In connection with recruitment at PureGym, we will request to see your child certificate if you are offered employment. This certificate will be sent to PureGym company E-box. Child certificates are not retained by PureGym but are deleted after review. We collect this information about you because PureGym is obligated to obtain child certificates when entering into contracts with instructors, Gym Staff, and others who will work closely with children under 15 years old, according to the Data Protection Act, Section 8, Paragraph 3.
Criminal Records
If you are offered an interview, PureGym will ask you to bring your criminal record to the interview, and we will note that your criminal record has been seen without further comments. We do not retain criminal records of our employees.
Employment at PureGym Group
If you are hired by us, we will create an employee file with your information digitally in Talentsoft, Planday, Zenergy, and HR Manager. In the personnel file, we register and store the personal information necessary and relevant to your employment with us, including information that may be necessary and relevant in the management of your employment relationship. We also collect and store the information we have received in connection with your employment, including your application, CV, references, diplomas, etc. The collected information can be categorized as both regular personal data under the Data Protection Regulation, Article 6, and sensitive data under the Data Protection Regulation, Article 9. We collect and store your information for the purpose of personnel administration. In principle, the processing of your information is carried out to fulfill your employment contract and the ongoing employment relationship, according to Article 6, Paragraph 1, Letter b of the Data Protection Regulation. Where there are other possible legal bases for processing, these are indicated below under the individual pieces of information: Contact and identification information, name, date of birth, home address, email and phone number, CPR number, and citizenship. This processing of personal data is necessary to comply with a legal obligation, according to the Data Protection Regulation, Article 6, Paragraph 1, Letter c, as well as Section 12, Paragraph 1 and Paragraph 2 of the Data Protection Act, and compliance with the EU Residence Regulation.
Personality Tests
If recruitment for the position you have applied for requires you to complete personality tests, skills tests, or similar assessments, you will be informed after we have processed your application. We always assess the relevance of such tests for the specific position. The purpose of these tests is to assess your competencies and qualifications as a potential employee and how your profile matches the company's values and the specific position. The processing of the personal data collected as part of the test is based on the Data Protection Regulation, Article 6 (1) (f), as we have a legitimate interest in finding the best-suited candidates for the position. However, we use your consent under the Data Protection Regulation, Article 6 (1) (a), and Article 9 (2) (a) as the legal basis if the test contains sensitive personal information. You can withdraw your consent at any time by contacting us at the contact information provided above. If you withdraw your consent, it will take effect from that moment, but it does not affect the legality of our processing of the information up to the point when you withdraw your consent. Personality tests, if conducted, will be deleted upon your departure from PureGym.
References
In some positions, it is necessary to obtain references from previous employers, colleagues, personal network, or similar. If we obtain such references, we may note the information we receive. We obtain your consent and use the Data Protection Regulation, Article 6 (1) (a), and Section 12, Paragraph 3 of the Data Protection Act as the legal basis for the processing before contacting references that you have not provided.
TV Surveillance
PureGym has installed TV surveillance in the centers, as well as the head office, in specific and targeted areas of our indoor premises. The areas under video surveillance are marked with signs. Your Rights
Under data protection rules, you have several rights regarding our processing of information about you. If you want to exercise these rights, please contact us.
- Right to access information: You can request access to the personal information we have registered about you under the rules on the right to access.
- Right to rectification: You have the right to have incorrect information about yourself corrected.
- Right to erasure: See the section below on "Deletion." In special cases, you may have the right to have information about you deleted before our general deletion deadlines apply.
- Right to restriction of processing: In certain cases, you may have the right to limit the processing of your personal information.
- Right to object: In certain cases, you may have the right to object to our or the data processor's processing of your personal information.
- Right to withdraw consent: If you have given consent to the processing of one or more pieces of personal information about you, you can withdraw your consent at any time in accordance with data protection rules. Unless the company has another legal basis for processing, we can no longer process the relevant information.
- Right to complain to the Data Protection Authority: You have the right to complain to the Data Protection Authority about our processing of your personal information if you believe that the processing is not in compliance with applicable rules. Deletion
Applications are generally stored for 12 months. Before the end of the 12 months, we will contact you to extend the storage of your application. If you are still interested in us retaining your information, you will need to give your consent, and PureGym will then store your application for an additional 12 months. TV surveillance of the company's workplaces is deleted within a maximum of 30 days after recording, unless it is necessary to retain and process information in connection with a specific case. If there is a legitimate reason to keep information for a longer period, this may be done. Child certificates and criminal records are received after your consent in the company's E-box and are deleted after review.
